Sole proprietor के business account से घर का खर्च गया हो, तो उसे दुकान का खर्च न मानें
छोटे कारोबार में कई बार supplier payment, UPI collection और घर की खरीदारी एक ही bank account से होती है। Bank statement में debit दिखना अपने-आप business expense नहीं बनाता। Proprietor की personal withdrawal को drawings/capital account में और प्रमाणित कारोबार खर्च को सही expense head में दर्ज करें; इससे books और ITR calculation साफ रहते हैं।

पहले scope समझें: यह sole proprietorship के लिए है
Proprietor अपनी अलग company नहीं होता; owner द्वारा निकाली गई रकम bookkeeping में आमतौर पर drawings/current-capital account में जाती है, salary या shop expense में नहीं। Partnership firm, LLP और company में partner/director के personal payment का treatment अलग हो सकता है—उसे proprietor drawings कहकर दर्ज न करें। उस स्थिति में entity-specific advice लें।
एक दिन की bank statement को ऐसे classify करें
मान लें दुकान के account से ₹60,000 का supplier bill, ₹12,000 का घर का grocery payment, ₹8,000 का electricity bill और owner ने दूसरे खाते से ₹25,000 जमा किया। इन्हें चार अलग सवालों में बाँटें:
- Supplier का ₹60,000: invoice, goods receipt/stock entry और payment match करें; सही purchase/expense या inventory account चुनें।
- घर का ₹12,000: business purpose न हो तो drawings/capital account में रखें; इसे दुकान का deductible expense न बनाएं।
- ₹8,000 बिजली: दुकान का connection/business bill है या shared home connection? Mixed use हो तो evidence और reasonable business-use basis रखें; personal हिस्सा अलग करें।
- Owner का ₹25,000 deposit: capital introduced/owner funds के रूप में source के साथ दर्ज करें; उसे sales receipt न मानें। यदि यह loan या customer advance है, तो वास्तविक दस्तावेज़ और facts के अनुसार अलग classify करें।
यह illustrative bookkeeping है, tax advice का substitute नहीं। वास्तविक entry bank narration, invoice, ownership type और business use देखकर तय होती है।
घर और कारोबार के transactions अलग करने की checklist
- Bank/UPI statement को line-by-line books से reconcile करें; हर debit को bill, vendor, expense head या owner withdrawal से link करें।
- Personal transfer/ATM cash को “miscellaneous expense” में छिपाने के बजाय drawings register में तारीख, रकम और purpose लिखें।
- Owner द्वारा डाली गई रकम की source पहचानें: capital, proprietor loan, refund या customer receipt—बिना proof के sales न मानें।
- Mixed-use mobile, internet, vehicle, electricity या rent का पूरा bill business पर न डालें; वास्तविक business use को evidence से support करें।
- Business-only account और UPI QR/merchant handle रखें, ताकि अगले महीने से classification आसान हो।
- हर महीने closing balance, cash-in-hand और owner capital/drawings balance की reasonableness check करें।
ITR और GST review में इसका असर क्यों दिखता है?
Income-tax deduction के लिए expense का business/profession से वास्तविक संबंध और supporting record देखना जरूरी है; personal nature का खर्च business profit घटाने वाला expense नहीं है। Tax year के हिसाब से लागू कानून/section अलग हो सकते हैं: नए Income-tax Act, 2025 के Tax Year 2026–27 में general business-expense condition Section 34 में है; उससे पहले के tax years पर उस समय लागू Act की provision जाँचें।
GST return review में sales, purchases, bank/UPI collection और books का मिलान अलग exercise है। Bank में जमा हर रकम taxable sale नहीं होती—owner funds, loan, transfer और refund की पहचान रखें। इसी तरह personal खर्च को business bill के साथ जोड़कर ITC या expense मानने से पहले eligibility और document purpose verify करें।
Income Tax Department का Income-tax Act, 2025, Section 34 business deduction की सामान्य शर्त में personal expenses को अलग रखता है। पुरानी अवधि के लिए Department का Income-tax Act, 1961 लागू provisions के साथ देखें।
जो records संभालकर रखें
- पूर्ण bank statement, UPI/card merchant statements और cashbook;
- purchase/sales invoices, bills, receipts, delivery proof और vendor ledger;
- personal withdrawals की date-wise drawings sheet और owner-funded deposits का source proof;
- mixed-use bills के लिए calculation note तथा business-use evidence;
- monthly bank reconciliation, cash balance confirmation और closing trial balance;
- GST returns/ITC register और books reconciliation, जहाँ GST registered हों।
Common mistakes
- हर bank debit को business expense मानकर P&L में डाल देना;
- घर का खर्च “office/general” नाम से दर्ज करना, जबकि bill/purpose personal हो;
- Owner deposit को sale मानना या owner withdrawal को supplier payment समझ लेना;
- पूरे mixed-use bill का deduction/ITC लेना, बिना business-use support;
- UPI narration पर भरोसा कर supporting invoice/receipt न रखना;
- साल के अंत में एक lump-sum “drawings adjustment” करना, जिससे statement से audit trail न मिले।
FAQ
क्या proprietor अपनी ही business से salary ले सकता है?
Sole proprietor और business अलग persons नहीं हैं; owner withdrawal को सामान्यतः drawings/capital में track किया जाता है, employee salary expense की तरह नहीं। Specific tax/accounting facts पर classification confirm करें।
अगर एक ही account से घर और दुकान दोनों का खर्च चलता है तो?
पिछले statement को transaction-wise classify करें, drawings और owner funds अलग रखें, mixed-use bills की documented business share निकालें और आगे से dedicated business account अपनाएँ।
क्या business account से दिया personal bill हमेशा गलत है?
Payment हो जाना और business deduction होना अलग बातें हैं। Payment entry drawings में classify हो सकती है; personal use को business expense दिखाने से बचें।
Owner ने cash business में डाला तो उसे sale दिखाएँ?
नहीं, पहले source और purpose identify करें। Owner capital, loan, transfer, refund और customer receipt के accounts अलग हैं; proof के आधार पर classify करें।
Company/director के personal payments पर यही rule चलेगा?
नहीं। Company/LLP/partnership की legal और accounting treatment अलग हो सकती है। Entity की books में due-from-director/partner, remuneration, perquisite या अन्य treatment facts के अनुसार professional review से तय करें।
